Small separately packed items can create large receiving questions when their purpose is unclear. A loose-parts list connects each package with the tractor or implement it belongs to. Prepare it from the final agreed supply and update it when the packing arrangement changes.
Use stable item references
Give each tractor or implement an order-line reference, then identify its associated loose items. Use the supplier’s confirmed descriptions and part references where available. Avoid vague labels such as “extra material” when a package contains several different components.
Keep the list linked to the relevant configuration. An accessory supplied for one version should not automatically be assigned to another tractor in the same shipment.
Record each package clearly
- Parent tractor or implement reference.
- Item description and confirmed quantity.
- Package or label reference used during packing.
- Supporting photograph where it helps identification.
- Receiving result and any discrepancy to resolve.
Ask the responsible provider to identify items requiring qualified assembly or technical checks. The list should help with reconciliation, not serve as an improvised assembly manual.
Reconcile before distribution
At receipt, compare packages with the final list before moving items to different farms or storage areas. Record differences against the specific reference so the supplier can investigate a precise question.
For example, a package may contain accessories for two tractors even though it travels beside only one. Labelling the allocation prevents confusion later. Retain the completed list with the shipment and machine records. If an item is unclear, seek identification before fitting or using it. Confirm any missing-item or condition issue through the actual agreed support process rather than assuming a remedy from the checklist alone.
