A destination change can affect several parts of a tractor order even when the equipment remains the same. Tell the responsible supplier and transport contacts clearly which location has changed and which details are still provisional. Keep the revision separate from the original enquiry record.

Describe the change precisely

Record the previous destination, the proposed replacement and the reason for the change. Distinguish a different port from a different inland site. Identify whether the delivery scope requested from each provider has also changed.

Do not assume that an existing freight figure or delivery statement remains applicable. Ask the relevant provider to reconfirm the route, scope and current conditions for the revised destination.

Review the affected records

  • Current quotation and the destination it names.
  • Shipping dimensions and equipment configuration supplied for planning.
  • Receiving contact and site access information.
  • Documents or instructions that need review by their issuer.
  • Unresolved local requirements needing qualified advice.

Keep a version reference on the revised destination brief and ensure the people arranging the shipment use the same version. Avoid informally altering issued documents without the responsible party’s review.

Confirm the new plan before relying on it

Ask each affected provider to state what has changed and what remains outside its scope. Record the confirmation and any revised commercial offer. A destination discussion should not silently change the tractor model or quantity.
